BI Connector

Easily manage Kizeo Forms data in your BI tool.

BI Connector Overview

With the Business Plan, the BI Connector is enabled by default.

It is accessible from the web interface.

The BI Connector allows you to connect Kizeo Forms to your Business Intelligence tools in order to create dashboards, charts and performance indicators.

The data entered in your Forms is thus automatically transmitted to your BI tool.

Menu Access and Structure

The BI Connector menu is composed of the following tabs:

  • Imported Forms

  • Compatible BI Tools.

This feature is intended for anyone who regularly monitors performance indicators (KPIs).

1. Imported Forms Sub-menu

This sub-menu allows you to select one or more Forms whose data you wish to use in order to create dashboards or charts.

1.1 Import a Form

  • Click on + Import a Form.

  • Select the Form to analyze, then click on Next.

  • Choose the Fields needed for your reporting.

  • Click on Create the import.

A synchronization is then launched to retrieve the data from the Form.

ℹ️ Practical information

It is not necessary to select all the Fields of the Form. The selection should be made solely based on your reporting needs.

1.2 Displayed information

For each imported Form, the following information is displayed:

  • ID of the Form.

  • Name of the Form.

  • Synchronization status.

  • Number of data entries.

  • Import date.

  • Date of the last synchronization.

The following actions are also available:

  • The pencil icon allows you to modify the Field selection.

  • The red cross icon allows you to delete an imported Form (irreversible action).

1.3 Synchronization Statuses

Status

Description

Completed

The synchronization is complete

Deleting

The synchronization is being deleted

Failed

The synchronization did not complete due to an internal issue

Preparing

The Form has just been imported, the synchronization has not yet started

In progress

Data is currently being loaded

2. Compatible BI Tools

This tab allows you to connect your Business Intelligence tool to Kizeo Forms.
The most commonly used applications are available.

  • Power BI,

  • Tableau

  • Metabase

  • Looker Studio

  • Qlick

  • Google Sheet

  • Other: if your tool is not listed.

2.1 Example of connection with Google Sheet

When you click on a BI application, a window appears.
For each of the forms selected in the previous step, an instruction to copy is provided.

For this example:

  1. Copy the instruction corresponding to the desired form.

2. Paste it into cell A1 of your Google Sheet file.

Synchronization starts automatically and all entered data appears in the file.

Subsequently, any new data entered will automatically feed into the document.

It is important to follow the provided instructions carefully to ensure a correct connection.

3. The advantages of the BI connector

  • Zero export / zero CSV: no more manual operations and risks of error.

  • Up-to-date data: indicators and KPIs continuously updated.

  • Relevance: only useful fields are exposed.

  • Autonomy: free creation of dashboards, charts and analyses.

4. Examples of use cases

  • Intervention report: resolution rate, average time, breakdown typology.

  • Weekly timesheet: hours per site or per team, variances against planned.

  • Site visit: progress, incidents, blocking points per lot.

  • Condition report: non-conformities, processing delays, recurrences.

  • Safety quarter-hour: observed risks, corrective actions, commitment tracking.

  • Leave request: capacity, absence peaks, operational coverage.

5. Current Limitations

Here are the current limitations of the BI connector.

5.1 Functional Limits

  • Advanced reporting is accessible to Administrators only.

  • An Administrator can only view the Forms they have imported themselves.

  • Maximum 100 Fields per Form and per Table. Beyond this, a warning message is displayed.

  • Maximum 25 Forms importable per Administrator.

  • Maximum 50,000 rows in an Excel or Google Sheet file.

  • Maximum 5 downloads every 15 minutes to feed an Excel or Google Sheet.

  • Synchronization between Kizeo Forms and the database every 30 minutes.

5.2 Technical Limits

  • Maximum 1,000 requests per hour.

  • Maximum 100 requests per minute.

  • Maximum 10 requests per second.

  • Cache of 5 minutes per request.

  • Maximum 10,000 rows returned per request.

  • Maximum 100 MB returned per request.

  • Maximum execution time: 300 seconds (timeout beyond this).

  • Maximum 2 GB of RAM per request.

  • Maximum 125 columns per request.
