The Kizeo Forms mobile app works in Offline mode. You can therefore fill out your data in an area without network coverage (basement, isolated worksite, dead zone, etc.).
The data is stored on your mobile device and automatically sent as soon as the network is restored.
A few precautions will allow you to work with peace of mind and avoid any data loss.
1. Prepare your app before losing network coverage
Before heading to an area without network coverage, take a few seconds to check the following points:
Log in to the app: you must be authenticated before losing network coverage. It is not possible to log in while offline.
Launch the app: this allows you to retrieve the latest changes made on the Web Interface (forms, lists) as well as data received in the Reception tab and drafts.
Send your pending data: make sure no data remains in the Pending tab.
Check the date and time on your mobile device: they must be correct.
Free up storage space: data and photos entered offline remain in the Pending tab until they are sent. They are not saved on the server: in the event of loss, damage, or reinstallation of the app, they will be lost.
⚠️ Important
After 30 days of inactivity, your session expires and you must log in again. This reconnection requires a network. If you have not used the app for a long time, we recommend logging out and then logging back in before you leave.
2. What you can do offline
When your device has no network, an orange dot appears on the button to access the Profile page, with the message Your device does not seem to have internet access.
Without a network, you can:
Fill out new data from the Forms tab, including photos and signatures.
Complete received data from the Reception tab, provided it was received before the network was lost.
Save your entry as a draft: the draft is kept on your mobile device, but not on the server. If the device is lost, damaged, or the app is reinstalled, it will be lost.
Send your data: it is placed in the Pending tab until the network is restored.
View your Sent data: it remains stored on your mobile device for 60 days by default.
ℹ️ Good to know
The retention period for Sent data can be reduced by your Administrator from the form options.
3. What requires a connection
Some actions are only possible with a network connection:
Log in or reconnect to the application.
Receive new pre-filled data (Push or transfers) in the Reception tab.
Retrieve changes made on the Web Interface (forms, lists).
Search for data in the Server tab.
Use geolocation.
Save your drafts to the server: when offline, they remain only on your mobile device.
⚠️ Important
As long as your mobile device is not connected, your drafts are not saved on the server. If the device is lost, damaged, or the app is reinstalled, they will be lost.
4. Send your data when the network is back
Fill out your data then press Send, as usual.
Without a network, the data is placed in the Pending tab of the Data page. A badge indicates the number of pending data entries.
As soon as your mobile regains a network connection, the data is sent automatically. The number of media sent out of the total is displayed on the data line.
Once the submission is complete, the data moves to the Sent tab. It is then saved on the server.
ℹ️ Good to know
Data entered offline appears in the Pending tab without an error message. The message Sending failed on…, written in red, indicates a submission that was interrupted.
5. Precautions to take
As long as your data has not been sent, it only exists on your mobile. To avoid any loss:
Do not uninstall the application as long as data is being entered, pending submission, or saved as a draft offline.
Do not log out as long as data is pending.
Do not switch mobiles before you have sent all your pending data.
Always exit the draft before closing the application.
⚠️ Important
In the event of uninstallation, only data saved on the server is retained. Data entered offline and not sent is permanently lost.
