Sending Pre-filled Data (Push)

Push lets you send partially or fully completed data to your users, directly to their mobile app. Field workers only need to complete or confirm the information already entered.

Prerequisite: Enable Data Push

Before any data can be sent, the option must be enabled on the relevant form.

  • Go to the Mobile tab in the form settings.

  • Enable the Allow data push option.

  • Click Save.

Pre-filled data can be sent in four ways:

  • One by one from Web entry,

  • One by one from the Planning,

  • In bulk via CSV/Excel import

  • In bulk via API

  1. Sending data via Web entry

This method is used to send a single data entry to one user.

To enter a data record, go to the Data menu, then:

  • Either via the History tab,

  • Or via the Enter data tab.

Click the + Enter data button.

Fill in the fields, then click the Transfer button.

Select the recipient from the list and answer YES to the question "Do you want to transfer to this user?"

The data is immediately sent to the recipient's mobile app.

⚠️ You can pre-fill Photo, Drawing, and Attachment fields. However, you cannot pre-fill a Schema field, as it is incompatible with Web entry.

2. Sending data from the Planning

This method is used to send a single data entry to one user.

To access the Planning, go to the Data menu, then the Planning tab.

Click the + Create button.

  • Select the form name,

  • Enter a start date and time for the visit

  • Enter an end date and time for the visit

  • Save

This opens a Web entry form

Fill in the fields, then click the Transfer button.

Select the recipient from the list and answer YES to the question "Do you want to transfer to this user?"

The data is immediately sent to the recipient's mobile app.

⚠️ You can pre-fill Photo, Drawing, and Attachment fields. However, you cannot pre-fill a Schema field, as it is incompatible with Web entry.

3. Sending data via Excel import

This method is used to send data in bulk to one or more users.

3.1. Preparing the Excel template

Follow the steps described in our Imports (Push) Tab tutorial

3.2. Filling in the Excel file

You can use the template prepared in the previous step, or create your own file.

Rules to follow:

  • The first column of the file must be named Recipients and must contain the user's login ID.

💡 User login IDs can be found on their profile page, under My Users

  • Columns must follow the order of the fields selected in the Imports (Push) tab

  • Column headers must match the field names

Specific formatting rules:

The value must be entered

Geolocation

Latitude,Longitude with no space (e.g., 44.1805194602862,4.763032597307177)

Multiple-choice list

Values separated by commas (with or without spaces)

Reference

Must be entered exactly as written in the list (case-sensitive)

⚠️ It is not possible to include media in Photo, Drawing, or Schema fields.

3.3. Importing the file

  • Go to Data > History and select the form.

  • Click Import CSV/Excel (top right).

  • Drop or select your file via Browse.

  • Click Import.

A green notification appears showing the number of data entries (rows) successfully sent.

If the file contains an error, a red notification appears, indicating the error and the line number where it occurred.

For example, if you add a space after the comma in a geolocation value (44.1805194602862, 4.763032597307177)

  • Click Close.

5. Tracking the status of sent data

From the data history, the Status column lets you track the progress of each Push.

Status

Meaning

Black checkmark

Completed

The form entry is complete (not via push)

Orange plane

Pushed

The data has been sent to the mobile device, but the user has not yet opened their inbox

Red arrow

Received

The user has opened their inbox

Green checkmark

Completed (push)

The user has completed and saved the pushed data

💡 For easier readability, you can filter by the Status column.

6. Making fields read-only

If certain information should not be editable by users, you can lock the relevant fields.

To do this, simply enable the Read-only when editing or Push available option, found in the Advanced tab of the field settings.

The field will be visible to the user but not editable.
