Practical example
You are adding a team member to your Kizeo Forms account and you need to choose their profile. Before checking a box, you want to know what each profile allows and which one requires a license.
The 3 profiles at a glance

The Administrator
The Administrator manages the Kizeo Forms account as a whole. They configure, supervise and administer all forms, users and groups. They are also the only profile with access to account management (settings and subscription).
Their rights are detailed in The Administrator's rights.
⚠️ Important By default, everything an Administrator creates belongs to the Company Account group: only Administrators can then modify it.
The Group Leader
The Group Leader is an intermediate administrator. Their scope of action is limited to their perimeter: their main group and the groups below it in the hierarchy.
Within this perimeter, they can, depending on the rights you grant them:
create and edit forms,
create and edit users,
create and edit groups of users,
view, export, edit and delete data entered by members of their groups.
They do not have access to account management (settings and subscription). Their rights are detailed in The rights of the Group Leader.
Example: your account is organized as follows.
Company Account
South Region (Paul's main group, Group Leader)
Marseille Agency
Nice Agency
North Region
Paul can manage forms and access data for the South Region, Marseille Agency and Nice Agency groups.
However, he does not have access to the forms or data of the North Region and Company Account groups: they are outside his perimeter.
ℹ️ Good to know
A group can have multiple Group Leaders, and a Group Leader can manage multiple groups.
You can restrict a Group Leader to read-only access on a group: they can then only view and export data. This restriction is not possible on their main group.
The User
The User enters data from the Kizeo Forms mobile application or from the web interface. They do not have access to the administration interface.
They can view, copy, edit or delete their data depending on the options enabled in each form. Their rights are detailed in The rights of the User.
Combining profiles
When creating or editing a user, you define their profile by checking one or more boxes: User, Group Leader, Administrator. The possible combinations are:
User only,
Group Leader only,
Administrator only,
User and Group Leader,
User and Administrator,
Group Leader and Administrator.
⚠️ Important Only the User profile allows data entry, and it requires a license. If an Administrator or a Group Leader also needs to enter data, check the User box as well.
The Undefined status
A profile for which no box is checked has the status Undefined. It is inactive (on standby): it is neither a User, nor a Group Leader, nor an Administrator. You can find these profiles in the [My users] tab using the [Undefined] filter.
