1. Principle
A visibility condition consists of three elements:
a condition field: the field whose value is tested;
an operator: the way this value is compared;
a value: what the field value is compared to.
When the condition is met, the field is displayed. Otherwise, it is hidden.
A visibility condition can be defined on all field types. However, not all of them can be used to define a condition (see section 3).
2. Define a visibility condition
Access the form configuration:
Existing form: from the My forms page, click the Edit button of the relevant form.
New form: you can define visibility conditions as early as the form creation stage.
Click on the pencil icon of the field to be conditioned. This pencil is present on all fields.
Open the Visibility tab.
Click on Add a condition.
In "Visible if", select the condition field.
Choose the operator, then enter the value.
Click Validate, then save the form.
3. Fields that can be used to define a condition
The table below indicates, for each field type, whether it can be used to define a condition, depending on its position in the form.
Field type | Outside a table | Inside a table |
Address | ❌ | ❌ |
Audio | ❌ | ❌ |
Calculation | ✅ | ✅ |
Checkbox | ✅ | ✅ |
Input field | ✅ | ✅ |
Choice | ✅ | ✅ |
Barcode / QR Code | ✅ | ✅ |
Counter | ✅ | ✅ |
Contact | ❌ | ❌ |
Date and Time | ❌ | ❌ |
Drawing | ❌ | ❌ |
Fixed file | ❌ | ❌ |
Geolocation | ❌ | ❌ |
Fixed image | ❌ | ❌ |
List | ✅ | ✅ |
Photo | ❌ | ❌ |
Attachment | ❌ | ❌ |
Reference | ✅ | ✅ |
Schema | ❌ | ❌ |
Separator | ❌ | ❌ |
Signature | ✅ | ❌ |
Slider | ✅ | ✅ |
Table | ❌ | ❌ |
NFC Tag | ✅ | ✅ |
Fixed text | ❌ | ❌ |
Text area | ❌ | ❌ |
A field located outside a table can be used for both fields outside a table and fields within a table. A field located inside a table can only be used for fields within that same table.
Custom User Fields can be used for both fields outside a table and fields within a table (see paragraph 8).
4. Operators
The available operators depend on the type of the condition field.
Checkbox and Signature
Two operators are available: = and ≠.
For a checkbox, the value to choose is Checked or Not checked.
For a signature, the value to choose is Signed or Not signed.
Other fields
For Calculation, Input field, Choice, Barcode / QR Code, Counter, List, Reference, Slider and NFC Tag, the operators are as follows:
Operator | Usage |
| A single element or a single value. These operators are strict. |
| Numeric values only. |
| Multiple choice fields (List, Choice). |
| Fields in which text or values are entered. Case is taken into account: if the condition is defined with the letter A, it is only met if the letter entered is A, and not a. |
| Numeric values only. Two values must be entered. |
5. Combining multiple conditions
Multiple conditions can be defined on the same field. Two modes are then available:
All conditions must be met: the field is displayed only if each condition is fulfilled.
At least one condition must be met: the field is displayed as soon as one of the conditions is fulfilled.
Don't forget to save the form.
6. Applying a condition to a separator
When a condition is defined on a separator, it applies to all the fields it contains, provided that these fields are already present in the separator at the time the condition is defined.
It is therefore recommended to place the fields in the separator before defining the condition.
7. Applying a condition to a table
When a table is hidden by a condition, all its fields are hidden as well. They can also have their own conditions.
8. Displaying a field based on the user's profile
The Custom User Fields can be used to define a condition.
Create the Custom User Field and fill it in on the profiles of the relevant users.
In the Visibility tab of the field to be conditioned, click on Add a condition, then select this Custom User Field.
Choose the operator and the value, then save.
9. Permanently hiding a field
To ensure a field is never visible on the mobile device, open the Visibility tab of the field, check the Field always hidden box, then save the form.
10. Limitation
Visibility conditions do not support special characters. If the value used in a condition contains a comma or any other special character, the condition will not work correctly.
